Welcome to Bellfire in the Catskills. Below, we describe the terms and conditions applicable to a booking and stay with Bellfire in the Catskills, as well as the terms and conditions applicable to the use of our website.

When we use the term “Site,” we are referring to our www.bellfirefarm.com website, together with any affiliated applications, booking systems as well as to any content, functionality, and services offered on or through this website and/or any affiliated booking systems.

The Site is owned and operated by Bellfire.Made LLC, (who we refer to, together with our affiliates, as “Bellfire in the Catskills” “us,” “we,” or “our,” depending on the context). When we refer to “you” and “your” in these terms, we are referring to you as a visitor to and user of the Site and, as applicable, to you as a visitor to one of our Bellfire in the Catskills properties.

Acceptance of Terms

YOU SHOULD CAREFULLY READ THESE TERMS. By accessing, browsing, or otherwise using the Site, you are creating a binding contract between you and us, and you are acknowledging that you have read, understood, and agreed to be bound by these terms.

We may make changes to the Site or these terms at any time. Any modifications will be effective when the changes are posted to the Site. You can review the most current version of these terms at any time by accessing the section of the Site labeled [Terms and Conditions], and you can determine when these Terms were last revised by referring to the “Last Updated” legend at the top of these terms. You are expected to check these terms from time to time to take notice of any changes. You understand and agree that your continued access to or use of the Site after any posted modification to these terms indicates your acceptance of the modification, even if you did not read the modification.

 

Bellfire Terms of Service

General

By booking a stay at Bellfire, you enter into a contract with Bellfire ("we," "us," "the Host," "the Owner") and agree to the following Terms and Conditions. The customer ("the Guest") agrees to abide by these terms on behalf of all members of their party, binding them jointly and severally.

Booking and Reservation Policies

  • Guests must be 21 years or older to make a booking.

  • The Guest acknowledges they have read this agreement in full, reviewed the property descriptions, and asked any necessary questions prior to booking.

  • Once a booking is confirmed, the Guest is responsible for full payment, including any additional charges for add-ons.

  • Non-payment of the balance will be considered a cancellation.

  • We reserve the right to refuse or cancel a booking at our discretion, with a full refund provided if applicable.

Occupancy

The accommodations and their maximum occupancy limits are as follows:

  • Bellfire Birdhouse: 1–2 guests (1 Queen bed)

  • Bellfire Cosmic Nomad: 1–4 guests (2 Queen beds)

  • Bellfire Tipi: 1–2 guests (1 Queen bed)

  • Bellfire Forest Belle: 1–2 guests (1 Queen bed)

  • The total number of guests must match the reservation confirmation.

  • Unauthorized guests beyond the listed occupancy may result in termination of the stay without refund.

  • Parents: You are responsible for supervising your children at all times, including ensuring proper use of composting toilets and respecting other guests' spaces.

  • Group bookings are accepted at our discretion.

Rules

All guests agree to read and abide by all rules specific to their booking, which may vary by Bellfire accommodations. These rules must be reviewed and agreed to before check-in. Bellfire will also provide a copy of these rules inside each lodging for guest reference. Failure to comply with these rules may result in the guest being asked to leave the property without a refund. Additionally, guests will be responsible for any damages incurred due to disregard for these rules.

Lease Term

  • The Guest may occupy the premises from the check-in time to the check-out time listed in their confirmation e-mail.

  • Check-in and check-out times are firm due to thorough cleaning procedures.

Damage, Loss & Cleaning

  • Guests must leave accommodations tidy and follow all house rules.

  • All personal belongings and food must be removed upon departure. Left-behind items must be claimed within 30 days and will be returned at the Guest's expense, plus a $10 administrative fee.

  • Extra cleaning fees ($25 per staff hour) may be charged if accommodations are left in an unacceptable condition.

  • We reserve the right to charge for damages, excess cleaning, or loss using the payment details provided.

Payment & Security Deposit

Full payment is required at the time of booking to secure your stay. No reservations will be confirmed without full payment. If any additional charges are incurred during the stay (such as damages, extra cleaning fees, or unapproved late check-outs), Bellfire reserves the right to charge the Guest’s payment method on file or issue an invoice for the balance due.

Liability

  • Guests must lock accommodation when not onsite. For canvas structures, valuables should be stored in vehicles.

  • Bellfire is not responsible for loss, damage, illness, or injury occurring onsite.

  • The Guest indemnifies Bellfire against any claims arising from use of the premises.

  • Bellfire’s insurance does not cover Guest’s personal property; we recommend securing personal insurance if desired.

Acts of Nature

  • Guests acknowledge the inherent risks of staying in natural accommodations, including inclement weather and wildlife encounters.

  • No refunds will be issued for disruptions caused by natural events beyond our control.

Cancellation Policy

  • 30+ days before check-in: Full refund minus credit card processing fees.

  • 14–29 days before check-in: 50% refund minus credit card processing fees.

  • Less than 14 days before check-in: No refund.

  • We reserve the right to cancel any booking at our discretion with a full refund provided.

  • Force majeure events (e.g., natural disasters, war, pandemics) do not warrant refunds.

  • We recommend purchasing travel insurance for protection.

Force Majeure

In the event of circumstances beyond our control, including but not limited to extreme weather conditions, natural disasters, pandemics, or any other unforeseeable events that prevent the fulfillment of bookings, we reserve the right to cancel or reschedule your reservation. Please note that we do not offer refunds for cancellations due to extreme weather or force majeure events unless otherwise stated. In such cases, we may provide a credit towards future bookings at our discretion. We recommend purchasing travel insurance to cover potential cancellations due to force majeure events.

Date Alterations & Rescheduling

  • Date changes may be accommodated if requested at least 14 days prior to check-in by contacting us here

Site Regulations

Guests must adhere to the following rules:

  • Quiet hours: 10:00 PM to sunrise (no loud music or disturbances).

  • Pets: Maximum 2 dogs per stay, with a pet fee.

  • Smoking: Prohibited indoors; permitted in designated areas with proper disposal.

  • Fires & Heaters: Must not be left unattended.

  • Photography: No commercial/promotional photography without prior written consent.

  • Commercial Activity: No selling of products/services on the premises.

  • Guest Privacy: Do not enter other lodgings without permission.

  • Firearms, fireworks, and confetti cannons are strictly prohibited.

  • Shoes: Please remove outdoor shoes before entering lodgings.

  • Leave No Trace: Keep the site clean and respect nature.

Violations of these rules may result in a $200 fine for additional cleaning, repairs, or replacements.

Wildlife & Nature

  • Bellfire is surrounded by wildlife, including bears, deer, foxes, and insects.

  • Guests must store trash properly and avoid leaving food inside tents.

  • Bugs and critters are a natural part of the environment, and while we clean thoroughly, some may still be present.

Complaints

  • Any concerns must be reported immediately so we can attempt to resolve the issue.

  • Failure to report issues during the stay waives any later claims.

  • Essential maintenance may occur during your stay, and we reserve the right to enter accommodations if needed.

  • Failure to adhere to Site Regulations may result in termination of stay without refund.

Miscellaneous

  • While we strive to provide accurate descriptions, updates and alterations may occur over time.

  • We reserve the right to enter accommodations in case of emergency or necessary repairs.

  • Guests may be asked to leave without refund if they violate these terms.

Newsletter

By booking a Bellfire camp stay, guests also agree to receive our newsletter. Guests may unsubscribe at any time.

Legal & Fees

  • Guests agree to cover any reasonable costs, including attorney fees, incurred by the Host in enforcing this agreement.

  • This agreement is governed by the laws of the jurisdiction where Bellfire is located
